Because our App functions as a digital Compliance Hub and workforce routing platform for the UK crane industry, we process critical safety and operational data. This policy complies with the UK General Data Protection Regulation (UK GDPR), the Data Protection Act 2018, and Google Play Data Safety requirements.

To provide our digital compliance workflows, safety auditing, and recruitment services, we collect the following types of information:

A. Information You Provide to Us (Account & Operations)

  • Personal Details: Name, email address, physical address/city, and phone number.
  • Digital Signatures: Electronic signatures captured via your device’s touch screen to authorize safety-critical documents such as Lift Plans (RAMS), Toolbox Talks, Timesheets, and Daily Pre-Use Checks.
  • Competency & Medical Records: Information regarding your professional qualifications (e.g., CPCS/NPORS card details) and the expiry dates of your Safety Critical Medical certificates.

B. Device Hardware & Permissions (Prominent Disclosure)

To utilize the Crane Team Compliance Hub, the App requests access to specific device hardware:

  • Camera & Photo Library: We require camera access to capture mandatory photographic evidence for site safety. This includes taking photos of cranes in an “Out of Service” (OOS) condition, capturing Critical Lift evidence, and uploading photos of your CPCS cards or Medical Certificates.
  • Local Device Storage (Offline Mode): We use local browser storage (IndexedDB) to securely cache your safety logs and timesheets on your device when working in areas with no network signal. This data automatically syncs to our servers once a connection is restored.
  • Precise Location (GPS): If enabled, we use location data to provide geotagged safety audits and to filter live crane jobs within your operational radius. You can revoke this permission at any time.

C. Information Collected Automatically

  • Device or Other IDs: Push notification tokens used to alert you when a new job is posted in your area or when a document requires your approval.
  • App Info and Performance: Crash logs and diagnostic data to help us monitor app stability and improve performance.

Note: Crane Team does not process any financial payments directly through the app, nor do we track advertising IDs for targeted third-party marketing.

4. How Do We Use Your Data? (Our Legal Basis)

Under the UK GDPR, we must have a lawful basis for processing your data. We use your information to:

  • Ensure Health & Safety Compliance (Legal Obligation / Legitimate Interest): To compile LOLER compliance reports, authorize Lift Plans, track lifting accessory expirations, and verify worker competency/medical status for Principal Contractors.
  • Provide App Functionality (Performance of a Contract): To route you to the correct project site endpoints, manage your daily timesheets, and allow you to browse or post crane jobs.
  • Send Notifications (Consent / Legitimate Interest): To send you alerts regarding weather wind-offs, expiring qualifications, and relevant local job openings.

5. Sharing Your Information

We do not sell your personal data to third-party advertising companies. Your data is only shared in the following necessary circumstances:

  • Employers & Principal Contractors: When you join a digital Site Endpoint, your name, signature, timesheets, and competency status are shared with the assigned Site Manager, Crane Supervisor, or Appointed Person overseeing that specific project.
  • Service Providers: We use trusted third-party providers to host our secure databases and dispatch automated email reports. They process your data securely and solely on our instructions.
  • Legal Obligations: If required by law, the Health and Safety Executive (HSE), or to protect the rights and safety of Crane Team and its users.

6. Data Security and Automated Retention

We implement strict technical and organizational security measures to protect your personal information. To minimize the data we hold, Crane Team utilizes automated server deletion protocols (crons):

  • Out of Service (OOS) Photos: Photographic evidence of parked cranes is automatically deleted from our servers 30 days after submission, unless explicitly pinned for an audit.
  • Medical Records: Expired Safety Critical Medical records are automatically purged from the database 30 days after their expiry date.
  • Critical Lift Logs: Retained for a maximum of 1 year before automated deletion.

If you delete your account, we will securely delete or anonymize your standard profile data, excluding specific safety logs that we or our clients are legally required to retain for health and safety compliance auditing.

7. Your GDPR Data Protection Rights

If you are a resident of the UK, you have the following data protection rights:

  • The right to be informed: To know what data is being collected and how it is used.
